Welcome to Sandbox! These Terms of Use govern your access to and use of our platform. By using Sandbox, you agree to be bound by these terms. Please read them carefully before creating an account.

1Who we are

Sandbox is operated by Sandbox Prep Inc. ("Sandbox," "we," "us"). We provide online tools to help users practise multi-mini interviews (MMI) and Casper-style scenarios, including video prompts and AI-generated feedback.

2Agreement to these Terms

By creating an account, accessing, or using Sandbox, you agree to these Terms of Use and our Privacy Policy, Acceptable Use Policy, and Cookie Policy (collectively, the "Agreement"). If you do not agree, do not use Sandbox.

3Eligibility & Accounts

  • 18+ only. The service is intended for individuals aged 18 or older.
  • Account security. You must keep your credentials confidential and are responsible for activity on your account.

4Our Services

  • Practice content. We provide Sandbox-owned questions, videos, and a simulated interview experience (including an on-screen avatar that lip-syncs text-to-speech).
  • AI feedback. After you respond, your audio/video is transcribed and processed to generate feedback. Feedback is informational only (see §14).
  • No affiliation. We are not affiliated with any university or the operator of the Casper test. Names and marks of third parties are used for identification/fair-use only.

5Plans, Pricing & Payments

  • Processors. Payments are handled by third-party processors (e.g., Stripe). We do not store full card details.
  • Offerings. We may offer both subscriptions and one-time purchases. Details, inclusions, and prices are shown at checkout and may change prospectively.
  • Auto-renewal (if subscribed). Subscriptions renew automatically for the then-current period unless cancelled before renewal. You can cancel any time in your account; access continues until the end of the paid term; no pro-rata refunds (see §6).
  • Taxes. Prices may exclude applicable taxes; taxes are added as required by law.

6Cancellations & Refunds

  • One-time purchases: You may request a refund within 7 days of purchase if not meaningfully used (e.g., no more than 1 station attempted or 10 minutes of content consumed/recorded). Otherwise, non-refundable except where required by law.
  • Subscriptions: Cancel any time; your access continues through the current billing period; no pro-rata refunds.
  • Statutory rights: Cooling-off or consumer rights in your jurisdiction (e.g., UK/EU) apply and will be honoured.

7Chargebacks & Delinquency

If a charge is disputed or reversed, we may suspend access to paid features while the dispute is pending. If the dispute resolves in our favour, you authorise us to re-charge or otherwise collect the amounts owed (including processor dispute fees where permitted by law).

8Your Content & Sharing Links

  • Ownership. You retain ownership of your user-generated content ("UGC"), including your recordings and written responses.
  • Licence to Sandbox. You grant Sandbox a worldwide, royalty-free licence to host, process, transcribe, and display your UGC for the purpose of providing the service, including generating feedback and enabling features you select (e.g., sharing).
  • Sharing links. If you generate a share link, your UGC may become viewable by anyone with the link (and any access controls you set, such as password or sign-in). Links are not indexed by search engines by default.
  • No "public domain." Granting a share link does not waive your IP rights.

Important: At this time, share links cannot be revoked by self-service and shared UGC cannot be deleted by self-service. If you need a takedown, contact info@sandboxprep.com and we will act promptly where feasible.

9Sandbox Content & Licence

  • Our IP. All Sandbox questions, videos, avatars, software, site materials, and trademarks are owned by Sandbox or its licensors.
  • Your licence. We grant you a limited, revocable, personal, non-commercial, non-transferable, non-sublicensable licence to access and use the services for your own preparation.
  • No redistribution. You may not copy, record, screen-record, scrape, download in bulk, or redistribute Sandbox content without our written permission, except as allowed by law.

10Acceptable Use & Moderation

You must comply with our Acceptable Use Policy. We may remove content or suspend/terminate accounts at our reasonable discretion for violations or risk to users, the platform, or third parties.

11Third-party Services

The services may integrate third-party tools (e.g., payments, analytics, chat). Their terms and privacy practices govern your use of those features.

12Changes to the Services

We may modify or discontinue features. Where a change materially reduces core paid functionality for your current term, we will provide appropriate notice and remedies consistent with consumer law.

13Disclaimers (No Admissions Guarantees)

Sandbox provides practice tools and informational feedback only. We do not guarantee interview outcomes, admission offers, scores, or any specific result. The services are provided "as is" and "as available."

14Limitation of Liability

To the maximum extent permitted by law:

  • Indirect damages excluded. Sandbox is not liable for indirect, special, incidental, consequential, exemplary, or punitive damages.
  • Cap. Sandbox's total liability for all claims in the aggregate is capped at the greater of (a) the fees you paid to Sandbox in the 12 months before the event giving rise to liability, or (b) $1,000 CAD.

These limits do not apply where prohibited by law.

15Indemnities

  • By you. You will defend and indemnify Sandbox against claims arising from (i) your UGC, (ii) your use of the services in breach of the Agreement, or (iii) your violation of law or third-party rights.
  • By Sandbox. We will defend and indemnify you against third-party claims alleging that Sandbox-provided content (not your UGC) infringes IP rights, subject to customary exclusions and your cooperation.

16Dispute Resolution & Governing Law

  • Non-U.S. users: This Agreement is governed by the laws of Ontario, Canada, and the courts of Toronto or Hamilton, Ontario have exclusive jurisdiction (conflict-of-laws rules excluded).
  • U.S. users only (Arbitration): Any dispute will be resolved by binding individual arbitration (e.g., JAMS), rather than in court, and you waive class/representative actions. Small-claims court remains available. You may opt out of arbitration by emailing info@sandboxprep.com within 30 days of account creation with subject "Arbitration Opt-Out," including your name and the email on your account.

17Term & Termination

You may stop using the services at any time. We may suspend or terminate access for violations, risks, non-payment, or where required by law. Sections that by nature survive (e.g., IP, disclaimers, limits, disputes) continue after termination.

18Changes to these Terms

For material changes, we will provide at least 15 days' prior notice by email or in-product, with the effective date. Minor or urgent legal/security changes may take effect on posting. Continued use after the effective date constitutes acceptance.

2Scope

This Policy explains how we collect, use, disclose, and protect personal information when you visit our website, create an account, use our apps and services, or interact with us. It applies globally, with region-specific rights where applicable (e.g., GDPR/UK-GDPR, PIPEDA, CCPA/CPRA).

3The data we collect

Data you provide

  • Account & profile: name, email, password (hashed), settings.
  • Purchase info: plan, entitlements; payments handled by processors (e.g., Stripe) who provide us with tokens and limited billing info (not full card numbers).
  • Practice activity: your video/audio recordings, transcripts, written responses, scores/analytics, timestamps, and share-link settings.
  • Support & communications: messages to support, feedback forms, and email preferences.
  • Onboarding survey: any optional questions you answer.

Data we collect automatically

  • Usage & device: IP address, device/browser info, approximate location (country/region), event logs, crash diagnostics.
  • Cookies/SDKs: Essential cookies for login and security; non-essential analytics/ads cookies only with consent where required (see Cookie Policy).

Sensitive data & minors

  • Biometrics: We do not process biometric identifiers/analytics at this time. If we later introduce such features, we will provide advance notice and obtain explicit consent where required.
  • Minors: The service is for 18+ only.

4Why we use your data (purposes + legal bases)

  • Provide the services (create your account, run practice sessions, generate transcripts/feedback, maintain entitlements). Legal basis: performance of contract.
  • Improve and secure the services (troubleshooting, analytics, fraud prevention, service quality, research and development). Basis: legitimate interests / consent for non-essential cookies.
  • Communicate with you (transactional emails; respond to support). Basis: performance of contract / legitimate interests.
  • Marketing (product updates, offers) where permitted; you can opt out at any time. Basis: consent or legitimate interests depending on region.
  • Legal compliance (tax, accounting, responding to lawful requests). Basis: legal obligation.

5AI processing and training

  • Service AI processing. We use AI providers (e.g., OpenAI) to transcribe/generate feedback on your content for the purpose of delivering the service.
  • Model training on your content. By default, we do not use your content for Sandbox model training unless you request to opt in. If you later wish to opt out, email info@sandboxprep.com (subject "Training Opt-Out"). Opt-out stops future use; previously trained model parameters are not retrievable, but we will cease any further training use of your content.

6Sharing your information

We share personal information with:

  • Service providers / subprocessors acting on our instructions (e.g., cloud hosting; content delivery; payments; analytics; email/SMS delivery; customer support; logging/monitoring).
  • Recipients you authorise (e.g., via share links).
  • Legal & safety recipients (e.g., to comply with law, enforce terms, protect rights, security, and users).

We do not sell personal information.

7International transfers

We may process data in countries outside your own (e.g., hosting primarily in the United States). Where required, we use appropriate safeguards such as EU Standard Contractual Clauses (SCCs) and the UK IDTA/Addendum. You may request a copy of relevant transfer safeguards.

8Retention

Unless a longer period is required by law or for dispute resolution:

  • Account/profile and purchase records: life of account + 24 months.
  • Videos/audio: 24 months from creation (or earlier if you request deletion; earlier if account is deleted).
  • Transcripts/analytics: 36 months (or earlier if you request deletion).
  • Support/chat logs: 24 months.
  • Backups: limited-access archives automatically purged on a rolling 90–180 days.

9Your choices and rights

  • Access, correction, deletion, portability, and restriction/objection (where applicable).
  • Marketing opt-out: use the unsubscribe link or email us.
  • Cookies: manage preferences via the cookie banner (where required).
  • Model training: opt-in by request; opt-out later by emailing info@sandboxprep.com.
  • Share-link takedown: email info@sandboxprep.com and we will act promptly where feasible.

We will respond within 30–45 days (or as required by law). You may also lodge a complaint with your local data protection authority.

10Security

We use appropriate technical and organisational measures, including encryption in transit and at rest, access controls, audit logging, and vendor due diligence. No method of transmission or storage is 100% secure.

11Data from or about others

If you share others' personal information (e.g., inviting a mentor to view a link), you are responsible for having a lawful basis and sharing it only with their permission.

Acceptable Use Policy

This Acceptable Use Policy outlines the rules and guidelines for using Sandbox. By using our services, you agree to comply with these guidelines to ensure a safe and positive experience for all users.

1Prohibited activities

You may not use Sandbox to:

  • Break the law, infringe IP, or violate privacy/publicity rights.
  • Post or generate content that is hateful, harassing, threatening, or discriminatory; sexual content involving minors; or that incites violence or self-harm.
  • Upload others' personal or sensitive data without lawful basis and permission (including health/medical information).
  • Cheating/impersonation (e.g., submitting Sandbox outputs as original work where prohibited; misrepresenting your identity).
  • Distribute malware, attempt to bypass security, probe, scan, or test vulnerabilities.
  • Scrape, bulk download, screen-record, harvest data, or reproduce Sandbox content without permission.
  • Interfere with service integrity or other users' use.

2Enforcement

We may remove content, restrict features, suspend, or terminate accounts to protect users, comply with law, or enforce these rules.

This Cookie Policy explains how Sandbox uses cookies and similar technologies to recognize you when you visit our website and use our services.

1What are cookies?

Cookies are small files stored on your device. We use:

  • Essential cookies (e.g., authentication, security, load balancing). These are required for the service to function and cannot be switched off.
  • Non-essential cookies/SDKs (e.g., analytics, performance, marketing). These are used only where permitted by law and with your consent (e.g., EU/UK).

2What we use today

At present, we use only essential cookies required for core functionality. If and when we enable analytics/marketing cookies (e.g., Google Analytics, Meta), you will see a cookie banner offering Accept / Reject / Manage options (with categories and granular controls where required).

  • Use the banner (where shown) to set preferences.
  • Browser settings may also allow you to block or delete cookies. Blocking essential cookies may prevent the service from working.
